FMM is one of the leading Facilities Management companies in Qatar, providing integrated FM services across multiple sectors. With a focus on operational excellence and client satisfaction, FMM is seeking a dynamic and experienced Executive Assistant / Secretary to join its team.


Position: Executive Assistant / Secretary

Job Responsibilities:

  • Provide high-level secretarial and administrative support to top management.

  • Manage executive schedules, meetings, and appointments efficiently.

  • Draft, review, and manage correspondence, reports, and official documents.

  • Maintain strict confidentiality of sensitive company information.

  • Prepare presentations, minutes of meetings, and executive reports.

  • Liaise with internal departments and external stakeholders on behalf of management.

  • Organize and coordinate travel arrangements and itineraries.

  • Ensure smooth day-to-day administrative support to senior leadership.

  • Handle office communication in a professional and timely manner.


Qualifications & Education:

  • Bachelor’s Degree or Diploma in Business Administration, Management, or a related field.

  • Professional certifications in office administration or secretarial practices are an advantage.


Skills Required:

  • Excellent communication skills in English (both written and verbal).

  • Knowledge of Arabic will be considered an added advantage.

  • Strong organizational and time-management skills.

  • High level of discretion and ability to maintain confidentiality.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to work under pressure and meet tight deadlines.

  • Strong interpersonal skills to effectively deal with management and stakeholders.


Experience:

  • Minimum 5 years’ proven experience as an Executive Assistant, Personal Assistant, or Secretary.

  • Prior experience supporting C-level Executives or Top Management is mandatory.

  • Experience in Facilities Management or related industries will be a plus.

  • Candidates must have a track record of delivering a high standard of executive and secretarial support in challenging roles.
